Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to support the County Highway Superintendent in the efficient management and coordination of administrative tasks within the County Highway Department. The successful candidate will play a crucial role in ensuring smooth operations, effective communication, and proper documentation within the department.
Minimum Qualifications:
• High School diploma or GED
• Associate degree or higher will be given higher consideration.
Other Requirements:
• Proven experience as an administrative assistant or in a similar role.
• Strong organizational and multitasking abilities.
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office Suite and other relevant software.
• Familiarity with budgeting and financial procedures is a plus.
• Ability to handle sensitive and confidential information with discretion.
• Knowledge of county government operations and highway management is advantageous.
• Complete mandatory computer security awareness training as assigned.
General Statement of Duties:
• Maintain an organized and efficient office environment for the County Highway Superintendent.
• Manage incoming calls, emails, and correspondence, and redirect them as necessary.
• Schedule appointments, meetings, and conferences, coordinating with internal and external stakeholders.
• Prepare and maintain accurate records, reports, and documentation related to highway projects, permits, and other administrative matters.
• Assist in the creation and maintenance of filing systems to ensure easy retrieval of information.
• Act as a liaison between the County Highway Superintendent and various internal and external parties.
• Assist in drafting and proofreading correspondence, reports, and other written materials.
• Coordinate communication and information flow between department staff and other county departments.
• Prepare meeting agendas, materials, and minutes for departmental meetings.
• Attend meetings and take accurate notes, summarizing key points and action items.
